Refunding a transaction using Scotiabank’s virtual terminal

How to issue a refund from the bank terminal, and why refunding from WooCommerce is usually better.

Refunds can be processed from Scotiabank’s virtual terminal as well as from WooCommerce. Use the terminal when the plugin’s API refunds are not yet enabled on your account, or when you need to refund a transaction that did not originate from your store.

Steps

  1. Log into the virtual terminal provided by the bank.
  2. Click Reports in the top navigation, then Transactions in the left menu.
  3. Use the filtering options to find the transaction you want to refund.
  4. Click the Order # of the transaction.
  5. Enter the refund amount and click Return Order.
  6. A success message confirms the refund has been submitted.

A word of caution

Refunds issued in the terminal do not write back to WooCommerce. The order in your store will still show as fully paid, and your reports will overstate revenue until you correct it manually. Add an order note recording the refund so the discrepancy is explainable later.

For this reason, refunding from the WooCommerce order screen is the better default once the bank has enabled API access on your account.
